Handling Revisions with Media Link

My client is in the process of setting up a C&P Pro database and will have to use the Media Link to Strata to import all their broadcast and insertion orders into C&P. I would appreciate hearing from any agencies who also have to maintain broadcast and/or print media revisions on C&P Pro. The reality of manually adding a "make good" to every buy line item that gets revised (after C&P has already billed it) is overwhelming to them.

Please provide me with any information you have on the following:

1) What systems or processes or procedures do you have in place to maintain all your revisions that cannot be imported from Strata/Tapscan/Smartplus/etc since they are already billed?

2) About how many revisions does your agency handle per month?

3) Who is responsible for making the revisions to the already billed insertion/broadcast orders on the C&P side (i.e. media dept or accounting dept?)?

4) What reports or tools do you use to make sure the two systems (C&P and Strata) are in synch?

Any information would be appreciated on the topic of maintaining media revisions. Thanks for your time and help!

Currently, my company is not using C&P's media module. However, I am in the process of purchasing Strata/Tapscan/Smartplus software and I hope to have Helen,

We use Smart Plus.

1)We do not import revisions, we manually add a MG line for the difference of the increase in C&P.

2)We have easily created over 3000 C&P broadcast orders so far this year...probably closer to 4. I would have to say a half to two thirds have required some sort of spending revision.

3)Initially the media department was responsible, but the time consumed could not be absorbed. Now the media department communicates changes to accounting and accounting makes the changes in C&P.

4)We compare invoice information in the Smart Plus Invoice module to the PO report produced by C&P for each job on a monthly or quarterly basis, depending on the flight duration.

Jeannie,

Regarding your answer to number 4 - I was told by tech support that a report doesn't exist to print a PO report by job, that it was only printable by client...was this done by a custom report that you created?

I pull the job number (which corresponds to a client as well - many job numbers per client), then I highlight the media costs, then I hit the orange icon on the right, and a display of all POs on the job appears (then I print it).
