Records from any
Clients & Profits X file can be exported using the report
writer
The report writer has a special template, called
Spreadsheet File, designed specifically for exporting data. Creating
the custom report is similar to making other custom reports,
except that field labels, headings, subtotals, and graphics are
not needed.
Data can be exported into one of several popular formats, including DIF, SYLK
(for Microsoft Excel), Lotus 1-2-3, dBase (for Microsoft FoxBase and Access),
as well as comma and tab-delimited text. These formats make it easy for other
software programs to import your Clients & Profits data.
The Export template lets you add up to 25 fields from one or more files. The
order in which the fields are added to the custom report determine how the
data will be exported. Records will be exported using the sort order chosen
from the Fields window.
The
report writer cant create fixed-length export files for mainframes.
The export files are always variable-length, depending on the number
of characters in each field. If you need to export fixed-length
data into another system, your export files will need to be filtered
through a separate program that can save padded, fixed-length text
files.
To create a custom report for exporting data
1 Choose New from the Reports menu.
2 Select the Spreadsheet file template, then click OK.
The Add Fields window opens, prompting you to select files and fields for this
custom report.
3 Double-click on the fields you wish to include in this
export file.
4 Click Finish to add the fields.
Once the fields are added to the custom report, they can be sorted and queried
just like any other custom report. Dont worry about the look of the custom
report, since it doesnt affect how the records are exported.
To export data
1 Choose Export from the Reports menu, or click the export button.
2 Select an export file format.
3 Click File to save the data into the export file on your
hard disk or file server.
The export file can have any name. If youre exporting data to a Windows-based
PC, be sure to add the .TXT extension to the file name.
Clicking clipboard will send this data to your computers clipboard, where
it can be pasted directly into another application (that is, if it can accept
export files from the clipboard -- which many cannot). The publish and port
options are used for special situations. (For more information on using the
Publish and Port options, call Clients & Profits X.)
