dGL Description in A/P Window

When we setup vendors in C&P, we can setup one standard cGL and one standard cost dGL account for that vendor. In the A/P window, as we enter A/P for our suppliers, once in a while we need to use different cost dGL or use multiple dGLs. The problem is when entering these dGLs, the system does not show the description of the dGL we just entered. Unless we go and look-up the G/L window to confirm that the dGL we just entered is the one we really wanted to enter.

Wonder if anyone has figured out a short cut to this problem. I do not mind looking up dGL in the look-up window but if C&P showed the description of the GL account as we entered it in A/P window it will take the guess work out of posting A/P to correct dGLs.

Any help is appreciated.

Paul, I agree, it should display name along with account number before you click save. After you save, it goes to the unposted entry - there you can see the account name along with the number. You can change it then but it is an extra step. What I do if a vendor has different cost dGL is enter the main dGLs in the field of the vendor account info and below I put the others in the A/P pop-up field so it pops-up every time I make an entry for that vendor. Hope this helps.

If you delete the default GL # (just hit the space bar while the GL # is highlighted), then hit the tab button, it will bring up the COA which shows the descriptions so you can be sure you're using the right one. You can then double click on the new account # and it will appear in the proper place on your AP window. This is a quick & easy way when you don't remember all of the GL #'s.

For that reason, most of my clients opt to have to enter the dGL each time they enter A/P rather than presetting it in the vendor file. I find that preseting it in vendor is most useful when the dGL is not likely to change.

I agree that it would be extremely helpful to be able to see the name of the GL account.

I usually just delete the one that pops up, hit tab and then select from the list to make sure it's the right one.

Have you added this to the Wish List on their website?

I printed out a reference list of all the accounts (SETUP/CHART OF ACCOUNTS/PRINT) as a quick reference to keep by the computer. The bonus here is that if you record information in the description box for that account, it prints out as well. So anyone entering info using that list knows where to enter costs for a new $175 computer keyboard.

But I like the idea of being able to see the name of the account along with the number...please Wish List it.

In classic 4.4 when entering an A/P invoice, I delete the default G/L # and hit the tab key. All my G/L account #s pop up with their descriptions. I can either scroll down the list or if I know it is a print bill, for example, I can enter the #5 and it will take me to the 5000 series of G/L #'s which I know are my job costs. If it is for multiple distributions, I check the box and on the new screen tab to dGl column, and follow the above procedure.

C&P used to show the description of the dGL in the A/P window - it no longer does that.

When entering he vendor invoice, the standard dGL account for the vendor comes up automatically, with no description. You have to use the lookup list to change the dGL or to add more. When you save the invoice, the dGL descriptions do show in the saved window. From there you can change it or redistribute the invoice dGL account(s) by going to the edit button before the invoice is posted.

the dGL field is the last field in the A/P module. Once you've entered the account and hit "save", the A/P screen should show the appropriate acc#. However, sometimes, it just doesn't do it and shows the generic A/P account. In this case, you need to go back to A/P from the accounting pull down menus and it should show the correct acc. # before any posting. I've alse experience this a/p conflict. I hope this helps.
