Summary: Answers to the most frequently-asked
questions to the Clients & Profits Helpdesk for the month
of September, 2007.
Q. Is there a reminder to prompt us to make sure that we do not schedule staff for holidays and days that the office is closed?
You can schedule these days in Preferences > Job Scheduling. These can be added for the entire year at one time. This will prevent these dates from being used as start and due dates on the job schedules. These dates will also be skipped when adding a ballpark schedule or rescheduling existing tasks. 
Q. We use the year in our job numbers and are starting to add job tickets for 2008. Where do we edit the job numbering settings?
Choose Setup > Preferences (on a Mac, choose Clients & Profits X > Preferences). Select Job Numbering. You will now be able to change the current year.
Q. We have job tickets that were added with the wrong year in the job number . Can these be changed?
Yes. Choose Setup > Utilities > Renumber > Jobs Number. 
Q. Can I add a change of address for a client?
You can add a change of address for a client. Choose My > Clients. Find the Client. Choose Edit, change the address and click save. Select Billing Info and Click the Copy link. This new address will default to new job tickets added. 
Q. I have added a change of address for a client but the estimate is still printing with the old address. Why?
For job tickets already added, you will need to update the address in the job ticket. Choose Production > Job Tickets. Find the job. Choose Edit > Edit Job > Estimate Options. Click the Copy link. The new address appears. The new address will automatically appear on newly-added jobs. 
Q. The old client address is still printing on the Accounts Receivable invoice. How can I change this?
You can edit the billing address of invoices already added. Find the A/R invoice. Select > Options and edit there. 
Q. We over billed a job ticket. How can we give the client a credit?
You can add a Credit Memo. Choose Accounting > Billing/Accounts Receivable > Click the Add link. You will add the Job Number and tasks that you want to credit. You will add negative billing amounts. When posted, the invoice will print Credit Memo. It will appear on the Client Invoice Aging as a negative invoice. 
Q. Why am I getting a message that time can not be edited over seven days when trying to edit time?
The time entry is more than seven days old but you only have access to edit within that date range. The number of days that a staff member can add/edit time sheets can be edited. Choose Setup > Users, Access & Passwords. Highlight the user’s name. Click Access Privileges. Click Costs.
