questions to the Clients & Profits Helpdesk for the month
of January, 2007.
Q. Where is the 1099 information located?
1099 information is one of the Check Tools. To access your 1099 reports, choose Accounting >
Checkbook, then choose Edit > Check Tools > 1099 Reports. From this window, you can print the
1099 Preview report, the 1099 Forms and the 1099 Summary report. It will also give you information
for ordering forms to make your 1099 reporting easier. 
Q. We use the year in our job numbers. Where do we change the year for new jobs that will be opened in 2007?
Choose Setup > Preferences (on a Mac, choose Clients & Profits X > Preferences). Select Job Numbering. You will now be able to change the current year.
Q. Several job tickets were opened already this year using the wrong year. Can these job numbers be changed?
Yes. You can re-number these job tickets one at a time. Choose Setup > Utilities > Re-number. Select to re-number a job number. You will add the job number that the job currently has and the job number that you want to re-number the job to.
Q. December was period 12. Do we have to close the year right away?
No. In January, you will change your current accounting period to 13 in the Accounting Periods preferences. Clients & Profits Classic has a total of 15 accounting periods and Clients & Profits Pro has a total of 24 accounting periods.
Q. We are getting a warning message when adding work in period 13.
This is a message indicating that the entry is dated in the new accounting year. This is a message only and will not prevent you from adding and posting work and journal entries to the new fiscal year. To change the fiscal year, choose Setup > Preferences (on a Mac, choose Client & Profits X > Preferences). Select Accounting Periods from the pop-up menu. You can now edit the first day of the fiscal year to reflect your new accounting year.
Q. Our state has a new sales tax rate. We need to edit the sales tax rate amount to default to the new rate.
If you need to edit your default sales tax rate, choose Setup > Preferences > Sales Tax. Clients & Profits will let you add up to 2 default sales tax rates. If the new default sales tax rate applies to your current clients, you'll need to edit each client's billing information (choose My > My Clients, then click the Billing Info link). The changes you've just made will affect new estimates and invoices added; changes aren't retroactive. 
Q. How do we add a new year of recurring payables?
Recurring payables are a great way to easily add repeating payables, such as lease payments or rent. To add recurring payables, choose Setup > Vendors, then click the Recurring Payables link. In the Recurring Payables window, click the Add button. You'll add the vendor, pay date, amount, and more. If you're already using a recurring payable and need to delete last year's schedule, simply click to select it in the Recurring Payables window, click the Delete button, and add a new schedule.
Q. Where and how do we add a new retainer schedule for a client?
You can add a retainer schedule by choosing My > Clients > find the client > click on retainers. You can print the current retainer schedule for your records. Click on the Clear button to clear the current schedule and you can add the new schedule. As the retainer billing is added and posted each month, the date and A/R invoice number will default to this window.
