Most of the systems you'll consider work like Clients & Profits: they all fully integrate production and accounting, support multiple users, process information in real-time, and retain historical data about clients, jobs, costs, and billings. Clients & Profits Pro and C&P X: Enterprise Edition allow you to set up profit centers to track the financial performance of different parts of your business without maintaining a separate set of books, although each profit center has its own chart of accounts.

Does the system allow departments?

Clients & Profits Pro and Enterprise Edition allow you to set up departmental G/L accounts to track costs for each department. Departmental G/L accounts can be categorized into a profit center. In C&P Classic, you can assign staff to departments, but not G/L accounts.

In Clients & Profits, journal entries don't make the G/L until you post them. You can print proof lists to double-check your work, then post by individual JE, or batch post by date or operator.

In Clients & Profits Pro and Enterprise Edition, you can track overhead expenses. Overhead invoices can be split between job cost and overhead G/L accounts.

Clients & Profits Pro and Enterprise Edition let you allocate overhead costs based on four different formulas: Agency Direct Service Costs, Agency Billings, Agency Income, and Agency Direct Client Hours.

Clients & Profits Classic allows 15 accounting periods to be open at one time. C&P Pro and Enterprise Edition allow 24 open accounting periods.

Monthly budget amounts can be entered for every G/L account, and can be reviewed on-screen or printed for any accounting period or quarter.

Can we mark taxable items?

You can set up two different sales tax rates for each task, and each client can have customized tax rates, or none at all. You can customize the tax rates and taxable work on each job ticket, too.

Accounts Payable

2.1

Can we run AP aging for any period?

X

You can customize the invoice and account agings for specific or all vendors, and for customizable aging periods (the default is 30-60-90 days).

2.2

Can we set up automatic recurring payables?

X

Payables can be automatically repeated any number of times in the coming year. These payables are automatically entered as posted invoices on their scheduled date, then proofed and posted like regular invoices.

Can the system write checks? Can we add handwritten checks?

X

Clients & Profits X: Enterprise Edition, Pro, and Classic write and print checks, and keeps a detailed check register. You can also hand write checks and record the information in Clients & Profits, but handwritten checks will be skipped when you print the others.

2.4

Can we proof vendor invoices before they post to the jobs?

X

When you add vendor invoices, they are unposted. You can print a proof list to review the invoices, then post them one at a time or in batches.

Can posted invoices be unposted?

X

You can easily unpost invoices, which creates reversing debit and credit journal entries in the GL. Unposting also reduces the vendor's account balance and removes the costs from jobs and tasks.

2.6

Are vendor invoices linked to the job?

X

Accounts Payable is seamlessly integrated with the vendor files, jobs, tasks, and the G/L. When an invoice is posted, it updates everything at once. Vendor invoices can be distributed among many jobs.

2.7

Can an invoice be edited once it's posted?

X

For better accountability, posting makes invoices permanent. If you need to change it, you can make adjusting entries against it. Or you can unpost the invoice, edit it, then repost it.

2.8

Can invoices be posted one at a time, or in batches?

X

When invoices are posted, they update the G/L. You can post a single invoice, all unposted, or in batches by period or operator.

2.9

Can we add Purchase Orders?

X

Anyone with access privileges can add purchase orders, and you can set a maximum order amount for each user.

2.10

Are POs automatically numbered?

X

Yes, orders are automatically numbered when they're added, and you can set the starting number in the Preferences.

Can POs be approved in the system?

X

Yes, anyone with the right privileges can approve a purchase order by clicking a checkbox. (The orders can be unapproved by unchecking the box.)

Can we run an Open PO report?

Yes.

Can a PO be revised once it's created?

X

Yes. The system keeps track of the revisions, and prints the current revision number on the order.

Can POs be prebilled?

X

You can prebill POs (and insertion and broadcast orders) with a single mouse-click, which creates an invoice.

Can POs be cloned?

X

Existing POs can be cloned for new purchases. Details can be edited to tailor-fit the current job.

Will a PO amount change when we add a vendor invoice?

X

Yes, the A/P invoices are linked to POs. When an invoice is added that references a PO number and line item, Clients& Profits self-reconciles the actual cost with the order amounts. The PO's balance is updated automatically each time an invoice is posted.

Can our logo be included on POs and invoices?

You can import a graphics file into POs, invoices and estimates. For more information, click here.

Billing & Accounts Receivable

3.1

Can we run AR aging for any period?

X

You can customize the invoice and account agings for specific or all vendors, and for customizable aging periods (the default is 30-60-90 days), and you can run the report at any time.

3.2

Can we set up retainers?

X

Client retainers can be automated using retainer schedules. Uninvoiced retainers will appear on your retainer aging reports, letting you know it's time to invoice them.

Can we do advance client payments?

Advance billings can be added and applied to future client invoices using Clients & Profits Pro or Enterprise Edition. Classic does not have this feature.

Can we bill from the estimate?

You can create an invoice from any estimate. Just indicate the percent you want to bill, mark the estimate tasks you want to bill, and Clients & Profits automatically computes the invoice amounts.

Can we do a partial billing?

You can do an progress billing any time.

Can we bill more than one job on an invoice?

Clients & Profits allows you to create multi-job billings to consolidate jobs onto a single invoice.

Can I bill miscellaneous charges?

You can add a miscellaneous billing, an invoice for a finance charge, and even add a credit.

Can billing be automated?

The auto-billing feature in Clients & Profits creates invoices automatically for unbilled jobs. Just enter the status code range, client, and period. Invoices are then created for you to proof and post.

Can a single payment be applied to more than one job?

You can split a single client payment between many jobs by applying a specific amount or by auto-allocating the total payment evenly across several jobs.

Can I proof invoices before they are posted?

Yes, you can proof invoices prior to posting them, and to save time you can post invoices in batches (or individually).

Can I reprint an invoice?

Yes, you can print or reprint an invoice at any time.

Time Keeping

4.1

Does the system include a time keeping feature?

Everyone can enter their own time using the built-in daily time card.

4.2

Is the time card automatic?

X

The time card includes a stopwatch that will automatically add your time.

Can unbillable time be recorded using time cards?

X

Time entries can be for billable, unbillable or overtime hours.

4.4

Can time entries include a description of work done?

X

A notes field allows users to add a lengthy description of work done on the job. This description can be linked to the Job Ticket's Job
Diary by clicking a checkbox.

Can managers track how much time an employee records?

X

There's several ways for managers to keep tabs on how much time employees are recording. First, managers can use a feature called Time Cop, which automatically notifies managers if a time card isn't completed. You can also require that a certain number of hours be accounted for on time cards. Managers can also run productivity reports.

4.6

Can one person enter everyone's time?

Time can also be recorded on a time sheet, which shows net and gross amounts.

4.7

Can time cards be edited?

X

Time can be edited, and the period that the user can edit their own time can be limited to a certain time frame, such as one week.

Job Tickets

5.1

Does the system include an electronic job ticket?

X

The job ticket is the foundation of Clients & Profits. It manages everything you do. It tracks estimates, schedules, costs, time, billings, and profit.

5.2

Can jobs be numbered individually for each client?

X

Job numbers can have up to 10 characters and can include client code. They can be numbered for each client, or consecutively for all jobs in the shop.

5.3

We do a lot of similar jobs. Can adding these jobs be automated?

X

You can set up job templates,which copy preset tasks, estimate options, and traffic tools. If you use a job template, you can tailor it to better fit the job at hand.

5.4

Can job tickets be cloned?

X

Existing jobs can be cloned into new jobs, making an exact duplicate of the original job. Cloned jobs get a new job number.

5.5

Can we add a creative brief?

X

You can include 15 steps (or headings) for each job ticket. The text fields are unlimited.

5.6

Can we track print specs?

X

Clients & Profits includes a comprehensive Print Specs window, which includes areas for print, film, seps, and more.

Can we include a lengthy job description?

X

The best place to add lots of detail about a job is in the Work Order, which includes a text field and a graphics box that you can paste a scanned image into. You can also add detail at the task level by adding a long description to the individual tasks.

Job Costing

6.1

Can we add jobs that don't get billed, like pro bono or house jobs?

X

When you add the job, check the "unbillable" box, which keeps the job from showing up on billable job reports. You'll still be able to record and report job costs. (You can also set up clients as "always unbillable".)

6.2

Can we add estimates to jobs?

X

You can add estimates, and revise them an infinite number of times, saving each revision for historical reference.

6.3

Can we add change orders to jobs?

X

Change orders can be added at any time, and record additional costs, time, and materials.

6.4

Can a job have a budget?

X

Budget amounts are set up in the Estimate window, which give you at-a-glance profitability estimates.

6.5

Can the cost of supplies be added to a job?

X

You can add supply cost (plus markup, if you want) to jobs.

Can costs be transferred from one job to another?

X

Costs can be moved from one job to a different job, and from one client's job to another client's job.

6.7

Can we stop people from working on jobs that are over budget?

X

You can set budget alerts to either warn or stop users when the job has recorded costs to within a customizable percent of estimate.

6.8

Can jobs for certain clients have special billing rates?

X

You can set special billing rates for individual clients, and jobs can be billed by those client rates. You can also bill by staff billing or task billing rates.

Traffic and Scheduling

7.1

Can specific tasks be assigned to individuals?

X

Tasks are assigned to individuals using the scheduling tool on the job ticket.

7.2

Can staffers view the tasks they have to do?

X

Staffers can see what they need to do with either the work-to-do report or their weekly task planner.

7.3

Can the system provide a "big picture" view of where all the jobs are?

X

Use the milestones feature in Clients & Profits to keep track of important job dates. The Production Planner is a graphical representation of all the shop's jobs.

7.4

Can we see where a job is through detailed deadlines?

X

The Job Schedule tracks every step of the job, who's going to do it, and when it is due.

Can we update every job from one window?

X

You can update traffic for every job in the shop in the Traffic window.

7.6

Can staffers mark tasks "finished"?

X

Users can mark a task "finished" right from their time card, or in the Job Schedule window. They can also update traffic through the time card.

7.7

Will staffers know when a job is ready to work on?

Clients & Profits includes automatic e-mail, which will send a message to key staffers when a job's production status code changes. So when a job's status changes from "estimate" to "in production," for example, a message will be automatically sent to the people who need to know about it.

Can we assign the same task to several different people?

You can set up subtasks on the Job Schedule, which allows you to assign different staffers, due dates, and details to a task that may be assigned to several people or require multiple steps to complete.

Media

8.1

Can we create media plans?

An unlimited number of media plans can be created for broadcast and print insertions. Not available in Clients & Profits Classic.

8.2

Can we create Insertion Orders and Broadcast Orders?

X

Yes, and these orders can be created with one mouse click from the media plan.

8.3

Does the system interface with a media buying system?

X

Clients & Profits links directly to SmartPlus, Tapscan and Strata to import your media buys for easy costing and billing.

8.4

Can we create media estimates?

X

Yes, and like media plans, you can create IOs and BOs from the media estimate.

8.5

Can we store ad close, space buy, rates, and other media data?

X

Yes, you will enter this information once when you set up the media vendor. Once complete, you can access a station or publication, then double click on the buy for vendor details.

Can we prebill media?

Clients & Profits includes a one-click prebilling feature.

Can we set up special contract rates for certain clients?

Yes. The station's or publication's standard rates will be replaced by the client rates for buys made on behalf of the client.

Does the system handle media WIP accruals?

WIP media accruals are posted automatically from media billing using the net cost of the insertion or broadcast order for accrual journal entries, which update a special WIP accrual G/L account, When the media vendor's invoice is entered, it reconciles the actual cost of the media with the accrued cost, then makes the reversing entry.

Can media buys be prebilled?

Orders can be prebilled directly from the IO/BO window either one at a time or in batches.

9.0

Account Management

9.1

Can we list more than one contact for a client?

X

Each client has one key contact, but you can identify contacts for new jobs and billings, plus add two alternate contacts.

9.2

Can we include a physical address that is different from the client's billing address?

X

The physical address is included in the client window and appears on printed estimates and change orders. The billing address appears on invoices.

9.3

Can we include notes about the client separate from specific jobs?

X

The Client Diary feature allows you to record notes about the client, and e-mail the note to people in your company who should be aware of the note. You can also post-date an entry to remind yourself to follow-up, for example, and schedule an e-mail it to yourself for delivery on that date.

9.4

Can we setup annual client budgets?

X

Budgets can be set up for each client, and you can run budget vs. actual billing reports.

9.5

Can we include a creative brief with a job?

X

The creative brief in Clients & Profits includes 15 customizable headings and text fields. (The text fields will accept an unlimited amount of characters.)

9.6

Can we look up old jobs?

X

You can look up jobs as far back in history as your database goes. Old jobs can easily be cloned into new jobs (see 5.4).

9.7

Can we see how profitable each client is?

X

You can run several profitability reports, including gross margin by client, project profitability, client vs. client gross margin, comparative client profitability, and projected gross margin by client (Pro and Enterprise Edition only).

9.8

Can we see historical information for vendors?

X

You can look up old POs, journal balances, and other historical information. Vendors, like clients, can be marked active or inactive.

9.9

Can the system calculate commissions?

X

Commission on media plans and media billings is calculated automatically. Commission on all other jobs is included as a line item.

Can estimates be edited?

X

You can revise estimates an infinite number of times, and each revision is saved and numbered. When the client approves one, that estimate is approved as "final," but previous revisions can still be viewed.

Can we add change orders?

You can add an unlimited number of change orders, and each change order can include up to 4 items.

Can clients look up their own jobs?

Clients can access their jobs using My Clients & Profits!, a web server add-on. Clients can only see their own jobs, schedules, and billings.

9.13 Can clients have more than one contact?

    You can add an unlimited number of client contacts, each with their own phone and fax numbers, e-mail and mailing addresses, and more. Plus, you can add special notes and reminders about each client contact.

When you upgrade from one release to the next, or from one software package to the next higher level, your database converts automatically without losing any information.

Are "old" versions supported after new versions are released?

Clients & Profits still supports every version ever released.

Can we write custom reports?

Job Tracker,C&P Pro, and C&P: Enterprise Edition include a custom report writer, as well as read-only ODBC so you can read your C&P database into other ODBC software, like Crystal Reports or Excel.

Are updates available for download?

Does the system lock records to allow only one person to edit a record at a time?

Clients & Profits locks records so they can't be edited by two people at the same time. (When a record is locked, the computer's pointer becomes a padlock.) Clients & Profits allows multiple simultaneous inquiries.

Can batch processes be run without requiring everyone to log out of the system?

All batch processes--with the exception of backing up the database--can be run while users are logged in. You can set up automatic quit times for users, which logs them out of the database in case they forget.

Does the system include a web interface?

Each user's access is set up using detailed access privileges. Users log into the system using secure passwords.

Clients & Profits is designed to grow with you, allowing expandable licensing to add more users, as well as an upgrade path so you can grow into the next software -- without losing data.

Does the system check for errors as data is being entered?

Clients & Profits includes interactive error checking (by pressing the tab key to move from field to field). Incorrectly entered data -- or fields that require an entry but are left blank--will activate either a lookup list or customizable message window.

Can we set up our own tasks, chart of accounts, and other data tables?

The data tables in Clients & Profits are completely customizable, so you can set it up with familiar data name and/or numbers.

Can we get help setting up the system?

If we can't remember a task, client, or vendor code, for example, can we look it up?

Any time you can't remember a code, just press tab to bring up a look up list. The look up lists are sortable by data code or description. You can also access look up lists from the menu bar.

11.3

Can we view reports on-screen before printing?

X

By choosing "Print to screen" in your report window, the report will print to your computer screen first. You can also set up users so that their reports always print to screen first. Once printed to the screen, reports can easily be sent to your printer.

Is the system user-friendly?

Clients & Profits is designed to work like you do, so the workflow is familiar. With toolbar buttons, a running help bar, keyboard commands, and drop-down menus, most users become comfortable with Clients & Profits very quickly.

Is phone help available?
