HELP WANTED: Book Keeper/Accounting AR/AP

Our small team, 15 folks, needs a Clients and Profits Book keeping/AR/AP pro.
With the right fit, you will handle accounts payable, account receivables, payroll. This position must be familiar with accounting practices in California, recognize the importance of our vendor relationships, and establish good relationships with our client accounting departments to promote prompt payment of invoices. The timely processing and dissemination of information is a mandatory function of this position. Success in this role requires the ability to interact professionally with all staff, clients, vendors and consultants while maintaining confidentiality and discretion with all assignments and interactions.
This position will report directly to the President as key advisor, but will also work closely with the account management team to discuss client POs and account profitability. The Book Keeper/ Office Manager will also work closely with the project management team on vendor PO approvals and any other purchases on behalf of 3marketeers or our clients.
Key areas of responsibility include:
Cash Flow Management & Bookkeeping
1. Accounts Payable
a. Payables reviewed for accuracy on a semi-monthly basis.
b. Enter payables in Clients and Profits
c. Ensure that verification of invoices is accurate based on purchase order information
d. Prepare payments to vendors as approved
2. Accounts Receivable/Collections
a. Check invoices that are sent to clients are accurate, posted to the correct period, and ledger.
b. Enter all client invoices into Clients and Profits, and send out to customers.
c. Complete and review for accuracy accounts receivable aging report on a weekly basis reflecting all payments received from clients.
d. Make collection contacts as needed.
3. Month-end Close
a. Insure bank deposits are made
b. Maintain confidentiality in all monetary and employee matters
c. Enter appropriate journal entries into Clients and Profits
4. Payroll & Payroll Taxes
a. Prepare payroll review sheets based on information given on hourly wages and standing salary listings, or changed in pay provided and work with our payroll company to call in 2x monthly information.
b. Include detail of vacation and sick day accruals
c. Enter final numbers including tax breakouts into Clients and Profits
e. Commissions, track monthly sales commissions.
5. Office Functions
a. Inventory and order office supplies as needed
b. Filing systems organizes and up to date
c. Route all incoming mail
d. Upkeep of board room, kitchen, and back office area.
e. Project Assistance may be needed
f. Update files with changes
Qualifications:
- Self-starter, entrepreneurial spirit with strong work ethics
- Self-motivated, energetic and determined
- Strategic thinker with unquestionable integrity
- Skilled , diplomatic negotiator
- Excellent written and verbal communication skills
- Ability to work in a fast paced environment
- Proficient working on a PC/or MAC with Microsoft Office software
- Expert knowledge of Excel
- Knowledge of Clients & Profits is very helpful
- Experience in agency or service business helpful
- BA or BS in accounting, Finance, Economics is preferrable but not required.
